Meeting Routines

Meeting Routines let you attach reusable playbooks to your calendar meetings so Obvious can run a defined set of objectives automatically after each one ends. This article covers how to browse the Routines Library, assign routines to meetings, and manage your collection.

Overview

Browse pre-built routines in the Routines Library, assign them to meetings, and manage your playbook collection — all from the Meeting Routines tab in Meeting Actions.

A routine is a reusable playbook — a set of objectives Obvious runs automatically (or with your approval) after a meeting ends. The Routines Library is where you browse and assign those playbooks.

Create a Routine

  1. Open the Meeting Actions panel for any meeting.
  2. Select the Meeting Routines tab.
  3. Click Add Routine. A modal opens with two tabs: Create New and Add Existing.
  4. Select Create New.
  5. Describe what you want the routine to do in the prompt field. For example: "Summarize action items and send a follow-up email to all attendees."
  6. Click Generate. Obvious drafts a set of objectives for the routine.
  7. Review the generated objectives. If you want changes, use the revision prompt to ask the agent to adjust them.
  8. Give the routine a title and choose an execution mode:
    • Run automatically — the routine runs immediately after the meeting ends.
    • Wait for approval — the routine pauses for your sign-off before running.
  9. Click Save. The routine is saved to your workspace and assigned to the meeting.

To assign an existing routine instead, select the Add Existing tab in the modal, browse or search your workspace routines, and click Assign.

Browse the Routines Library

  1. Open the Meeting Actions panel for any meeting.
  2. Select the Meeting Routines tab. The Routines Library panel loads, showing all routines available in your workspace.
  3. Use the Search routines field to filter by name.
  4. Use the ownership dropdown to switch between Personal routines (ones you created) and Workspace routines (all routines in your workspace).
  5. Use the filter to show All, Auto, or Needs approval routines.

Each routine card shows the routine's title and description, an execution mode badge, a count of objectives, and a step-by-step preview of up to four objectives. Click Show more on a card to expand the full list.

Assign a Routine to a Meeting

  1. In the Routines Library, click any routine card. A detail sidebar slides in from the right.
  2. In the sidebar, select the Assign to Meeting tab.
  3. Choose an Assignment type from the dropdown:
    • Event — assigns the routine to a single upcoming meeting.
    • Recurring Events — assigns the routine to every occurrence of a recurring meeting series.
    • Conference Link — assigns the routine to any meeting whose conference link contains a pattern you specify (for example, zoom.us/j/123).
    • Title Pattern — assigns the routine to any meeting whose title contains a keyword you specify (for example, Weekly standup).
  4. For Event or Recurring Events: a searchable list of upcoming calendar meetings appears. Select the meeting you want to assign the routine to.
  5. For Conference Link or Title Pattern: select a calendar account from the dropdown, then type the pattern in the field that appears.
  6. Choose when the routine runs using the After meeting ends dropdown:
    • Run automatically — Obvious runs the routine immediately when the meeting ends.
    • Wait for approval — the routine pauses and waits for you to approve it before running.
  7. Click Assign Routine. The routine is now linked to the meeting.

To see all assignments for a routine, select the Assignments tab in the detail sidebar. Each assignment shows the assignment type, execution mode, and how many upcoming meetings it matches.

Manage Routines

Edit a routine

  1. In the Routines Library, find the routine you want to edit.
  2. Click the ··· button on the routine card and select Edit routine. This button only appears for routines you created.
  3. Make your changes and save.

Delete a routine

  1. Click the ··· button on the routine card and select Remove. This button only appears for routines you created.
  2. Confirm the deletion. Obvious removes the routine and all its assignments automatically.

Note: The ··· button is also available in the routine detail sidebar header.
